Any number of Anaplan models requires a comprehensive solution for managing user security. Adding and removing users, assigning roles and updating list access quickly become overwhelming and time consuming if not addressed at an early point along your Anaplan journey. Developing a centralized tool for security management requires countless hours tinkering with possible options for enabling an administrative user to control an ever-changing landscape, so many of today’s consulting firms do not even provide this as a service. Fortunately, as a result of my experience as a full-time developer I have created a comprehensive, integrated solution that will fit the demands of your user base and drastically reduce your support team’s time spent meticulously updating user security settings.

1. The current state of most Anaplan customers


This illustration will likely sound familiar. A company typically houses anywhere from 3-15 Anaplan models. Each of those models has a unique combination of users, roles and selective list access settings that must be regularly maintained and modified. To accomplish this, one or more administrative users manually updates user settings on an ad-hoc basis in each individual model. This requires:

  • Adding a user to multiple models or workspaces, one model at a time.
  • Deciding on a role or designating a user as No Access.
  • Scrolling through sometimes overwhelmingly large lists to modify selective access settings.
  • Establishing Single Sign-On settings for every workspace that a user may access.

For anyone who has spent time overseeing security settings for an organization, these examples likely conjure a familiar feeling of tedious effort and hours of manual updates.

2. How to centralize security management


As with any process in Anaplan, inefficiencies should be automated and centralized wherever possible. Security settings are no exception. Ideally, they should be maintained in one model, similar to a Data Hub, and fed to each end-user model on an automated schedule (with an ad-hoc option for immediate updates).

All of your users and roles should be held in lists within a security model, and new users should be added directly to this list when access is needed. Hierarchy access can also be centralized and maintained using administrative dashboards that allow each user’s access to be modified using Search and Filter capabilities. When a user no longer needs access or leaves the company, each of their model roles can be set to No Access to eliminate the risk of unwanted data changes by inactive employees.

This is a brief picture of the ideal future state that I offer. My solution was developed across multiple companies and planning cycles, so it has a proven record of providing substantial efficiency gains for administrative security maintenance.
